Position Overview
The College Outreach & Online Programs (CO-OP) office reports to the Dean’s office of the College of Liberal Arts & Sciences. CO-OP is responsible for recruitment and outreach to prospective undergraduate freshmen and transfer students to the College of Liberal Arts & Sciences and School of the Arts, as well as recruitment, on-boarding, and advising of students in the College Online undergraduate programs. The School of the Arts (SOTA) Outreach Coordinator reports to the Director of the CO-OP office and works very closely with the Arts & Recruitment Outreach Coordinator. This position is a member of the outreach team responsible for recruitment of prospective students to the College of Liberal Arts & Sciences and School of the Arts.
The School of the Arts Outreach Coordinator works with prospective KU students, and their families, to guide them through the college choice process, with an emphasis on the value of studying art at the University of Kansas, specifically those artistic disciplines in the School of the Arts which include Theatre & Dance, Visual Art, and Film and Media Studies. This position contributes to the communications strategy to prospective SOTA students, builds connections with high school and community college counselors, and collaborates often with the staff in the SOTA academic departments, University Theatre, and University Dance Company. They use data to lead their outreach efforts and track the effectiveness, making necessary adjustments. This position is responsible for facilitating campus visits for prospective students, either as one-on-one visits or group visits, including facility tours. The ability to travel is required as this position attends Visual & Performing Arts recruitment fairs, and other recruitment related events.
The outreach coordinator fosters a critical connection between the CO-OP office and the School of the Arts, which includes attending on-campus SOTA events, getting to know current SOTA students, and being immersed in the creative heart of KU. These connections are used to improve the outreach coordinators ability to communicate the opportunities available to students in the School of the Arts. The SOTA outreach coordinator conducts their work from a social justice perspective to ensure equity in their outreach and to contribute to building a more diverse KU.
The School of the Arts Outreach Coordinator is responsible for coordinating and managing the School of the Arts Internship Fair, Visual Art Day, and tabling at other recruitment related events occurring in the School of the Arts. This position coordinates a student ambassador program and supervises one student hourly position. They are also responsible for daily management of the admission and portfolio submission process for the Visual Art department.
Job Description
Building and managing relationships and collaboration (40%)
- Network with high school counselors to ensure their students have what they need to be successful before they get to KU
- Connect with area community colleges, including but not limited to, Kansas City Kansas Community College, Metropolitan Community College, and Johnson County Community College to communicate transfer student pathways for School of the Arts students
- Build and foster a network of program directors and other applicable contacts from regional dance, visual art, and film organizations in order to facilitate recruitment pathways for those students to KU
- Attend School of the Arts events as a supporter of the arts, and as a representative of SOTA when needed at events or performances
- Support the University Theatre and University Dance company as needed on events that overlap with recruitment
- Guide prospective students and families through the admission process including information about the overall college choice process and the value of studying in the School of the Arts at KU
- Coordinate group visits to the School of the Arts, and track and follow up with students who visit one-on-one with SOTA departments
- Deliver group presentations on the School of the Arts
- Attend local, regional, and national recruitment fairs as a representative of the School of the Arts
- Organize a student ambassador program in order to embed the student voice into prospective student visits
- Manage the admission process for Visual Art including the portfolio submission and scholarship review, and help students navigate the process
- Use prospective student data to inform outreach strategies to students, guardians, high school counselors, and community college representatives
- Work directly with the Arts & Recruitment Outreach Coordinator in the College’s Dean’s office to contribute to the development of email communications and print materials, as well as other marketing needs
- Develop and implement events for the School of the Arts, including but not limited to, Visual Art Day and the School of the Arts Internship Fair
- Participate in recruitment and outreach team meetings and offer feedback and support to team members
- Cross-train and fulfill back-up duties for the other outreach coordinators
Required Qualifications
- Bachelor’s degree.
- At least one year of work experience related to student engagement either in a university, high school, or community college setting, as demonstrated by application materials.
- Ability to work and make decisions independently while equally being able to work in teams and collaborate, as demonstrated by application materials.
- Experience in planning events as evidenced by work history and application materials.
- Demonstrated excellent verbal and interpersonal communications skills, as evidenced by letter of application and information from references.
- Demonstrated strong computer skills, preferably with experience with Microsoft Office, Adobe design, e-mail and internet for writing, research and correspondence.
- Evidence of involvement or interest in the arts, and a demonstrated value of the arts for the betterment of society as evidenced by letter of application.
- Valid driver’s license by time of appointment.
Preferred Qualifications
- Bachelor’s degree in a creative field.
- Strong written communication skills as evidenced by application materials.
- Ability to accept responsibility and demonstrate personal initiative measured by performance in a leadership role.
- Familiarity with CRM technology, and enrollment management practices pertaining to the recruitment student funnel.
- Experience at managing multiple detail-oriented projects or tight deadlines.
- Demonstrated ability to establish excellent working relationships with a variety of audiences.
- Demonstrated passion for education and ensuring equity and inclusion in education.
