Administrative Assistant - ASOR
Position Summary
Provide administrative support to the chair of the ASOR Department / Director of the Center for Business Analytics. Assist with overseeing day to day duties such as maintaining lists of admitted applicants and incoming students, assisting in planning of GSO activities, creating/updating stipend and scholarship contracts in online contracting application, enrolling graduate students into classes, coordinating the enrollment of MS MATH and other graduate programs into ASOR classes. Assists Grad Coordinator with OPT and SACM correspondence, admissions, scholarships, stipends in conjunction with the MSAS Graduate Coordinator. Maintain Departmental Budget by tracking expenses, submitting reimbursements through Chrome River, placing supply orders via FalconPurch, balancing department budget on a monthly basis, teaching schedules, and calendars. Coordinate personnel (faculty) searches. Interface with students having questions about scheduling and departmental policies. Coordinate Business Analytics Symposium. Perform Recordkeeping, Billing, and Communication for the Center for Business Analytics.
Essential Duties, Tasks and Responsibilities
- Provide customer service to approximately 20 M.S. Applied Statistics graduate students, nearly 100 undergraduate students who specialize in Business Analytics and Intelligence and 1700 undergraduate BSBA students who are required to complete courses offered by the Department of Applied Statistics & Operations Research.
- Maintain and update department website.
- Prepare spreadsheets each semester for adjunct contracts, overload contracts, stipends, etc. for payment.
- Coordinate with all faculty and adjuncts for undergraduate and graduate classes for textbook information and enter textbooks into Verba.
- Coordinate with the Graduate Secretary in the Math Department on course offerings and enrolling ASOR students into Math classes as well as Math students into ASOR classes.
- Coordinate with the Master of Science in Applied Statistics Graduate Coordinator on student scholarships and/or stipends and prepare offer letters and contracts.
- Make travel arrangements and prepares Chrome River travel expense reports for faculty reimbursement.
- Collect information, edit, and publish the annual department newsletter.
- Maintain list of all scholarships available including funding amounts and requirements. Enter the award recipients into Academic Works and into the Schmidthorst College of Business portal.
- Maintain department faculty and staff meeting calendar, attend the meetings, and prepare meeting minutes.
- Coordinate, prepare, and arrange meetings and special events.
- Provide support for the faculty recruiting process, annual reviews, merit, and promotion and tenure reviews.
- Coordinate and oversee day-to-day department administrative operations, monitoring the budget, and submitting requisitions and invoices.
- Coordinate the hiring and onboarding of adjunct faculty.
- Communicate and coordinate with Graduate and Executive Programs in in Business on course scheduling and staffing for the Executive MBA, Full-time MBA, and Online MBA.
- Work with the Department Chair to develop course schedules and manage waitlists.

Minimum Qualifications:
Experience
One-year related experience required.
Education
High school diploma or GED required.
Salary
Full-time, twelve-month classified staff position. Classified Pay Grade 26/$17.19. Full benefit package available.
